Hi All,

I’m not sure if this is the right forum for this question, but I am planning to migrate mailboxes from Google Workspace (Gmail) to Microsoft 365 using the Microsoft FastTrack migration service.

My project settings are:

  • Exclude rules: No
  • Exclude calendars from the migration: No
  • Exclude contacts from the migration: Yes
  • Exclude tasks from the migration: Yes
  • Exclude permissions/delegation from the migration: Yes

Based on these settings, I would like to confirm exactly what data will and will not be migrated.

My understanding is as follows:

Will Migrate

  • Emails
  • Calendar items
  • Gmail labels/folders
  • Mail rules/filters

Will Not Migrate

  • Contacts
  • Tasks
  • Email signatures
  • Automatic replies (Out of Office settings)
  • Mailbox permissions/delegation

Can anyone please confirm whether the above understanding is correct for a Google Workspace (Gmail) to Microsoft 365 migration using Microsoft FastTrack?

Thank you for reaching out. 

Based on my research, your understanding of what will and will not be migrated is mostly accurate and aligns well with the current documented capabilities. 

With your current configuration, mailbox content such as emails (including attachments), calendar items, Gmail labels (which are converted into folders in Exchange Online), and mail rules or filters will be migrated. However, please note that while rules are migrated, they are typically brought over in a disabled state and will need to be reviewed and enabled by users after the migration. Additionally, calendar data is migrated, but there are some known limitations, for example, shared calendars and certain visual elements such as event colors are not preserved during the process.  

As expected based on your settings, contacts and tasks will not be migrated since they are explicitly excluded. In addition, some mailbox-related configurations are not included in the migration scope at all, regardless of settings. This includes email signatures, automatic replies, and mailbox permissions or delegation. These elements are either stored differently at the platform or client level or are not supported by the migration engine, and therefore must be reconfigured manually after the migration is complete.  

While the overall mapping of data is correct, it is worth highlighting that migration does not always result in a perfect one-to-one experience. For example, Gmail’s labeling system differs from Outlook’s folder structure, which can lead to slight differences in how messages are organized after migration. Similarly, some rule logic or calendar behaviors may require minor adjustments. 

For this reason, I would recommend starting with a small pilot batch to validate the results in your environment, particularly focusing on calendars and rules to ensure they behave as expected. 

Overall, your understanding is correct. The only important nuance is that while the core data is migrated successfully, some configuration elements and user-specific settings require manual reconfiguration, and certain features may not transfer with full fidelity.
